Cancellation Policy
1. Notification of Cancellation
1.1 All cancellation requests must be submitted in writing (e-mail or letter) by the person who made the booking (the “Lead Bookings Contact”).
1.2 The date of receipt of the cancellation request will be taken as the date on which your cancellation becomes effective.
1.3 If you made your booking through an authorised agent, you must cancel through that agent, and any agent’s cancellation charges will apply in addition to ours.
2. Cancellation by You
2.1 You may cancel your booking at any time, subject to the cancellation charges set out below.
2.2 The amount of cancellation charge depends on how far in advance of the tour date you notify us.
2.3 For one-day private tours:
More than 35 days before the scheduled departure: cancellation charge is 25% of the tour price.
Less than 35 days before departure or in the event of a “no‐show”: 100% of the tour price is payable.
2.4 For multi‐day private tours or customised itineraries:
More than 91 days (13 weeks) before the tour start date: 0% cancellation charge (i.e., full refund minus any deposit/administration fee).
Between 90 and 65 days before the tour start: 25% of the tour price.
Between 64 and 35 days before the tour start: 50% of the tour price.
Less than 35 days before the tour start (or in the case of a “no show”): 100% of the tour price.
2.5 If you cancel any part of the tour (e.g., accommodation, transport, activity) that has been booked on your behalf with third-party suppliers, you may also be liable for any supplier cancellation charges in addition to our cancellation charges.
2.6 If you transfer your booking to another person (subject to our agreement) we may charge an administration fee in respect of the transfer.
3. Cancellation by Us
3.1 We reserve the right to cancel or reschedule a tour due to insufficient numbers (if applicable), adverse weather or road conditions, vehicle breakdown, act of God, or any “force majeure” event (as defined in our Terms & Conditions).
3.2 In the event we cancel the tour, we will endeavour to offer you either:
an alternative tour of equivalent value; or
a full refund of all monies you have paid in relation to that booking.
3.3 We will not be liable for additional costs incurred by you (for example, flights, accommodation, connecting tours) as a result of our cancellation.
4. Refunds
4.1 Any eligible refund will be made to the original method of payment, after deduction of applicable cancellation charges, within a reasonable period.
4.2 Exchange rate fluctuations, banking fees or card-processing costs are not our responsibility and may reduce the amount refunded.
4.3 No refunds will be given for any unused services (including missed departures, late arrivals, changes in weather or road conditions) unless we explicitly offer a credit or refund in writing.
5. Missed Departures/Unused Services
5.1 It is your responsibility to arrive at the agreed pick-up point on time and with correct documentation. If you fail to do so and cannot join the tour at the designated time, this will be treated as a cancellation by you, and no refund will be due.
5.2 If you leave the tour early, do not take part in any included activity, or miss services for which you are responsible, no refund or credit will be offered for the unused portion unless otherwise agreed by us in writing.
6. Force Majeure
6.1 We shall not be liable to you for refunds or compensation if we are prevented from performing the tour, or part of it, due to events beyond our reasonable control (including, but not limited to, severe weather, landslips, road closures, vehicle breakdown beyond reasonable maintenance, fire, flood, war, terrorism, epidemics).
6.2 In such circumstances, we will offer you an alternative date or refund as detailed under clause 3.2, but we cannot guarantee this will cover ancillary losses.
7. Insurance
7.1 We strongly recommend that you take out travel, cancellation and personal accident insurance to cover your liabilities under this Cancellation Policy and any losses you might incur if you need to cancel or change your booking.
